The IEEE Conference Application Form (Step 1) and the RAS addendum (Step 2) are reviewed by the RAS Conference Activities Board.

Step 4

The RAS Vice President of Conference Activities and the RAS Vice President of Financial Activities approve or disapprove the sponsorship request.

Step 5

RAS sends an approval letter to organizers with information about RAS expectations and links to forms, supporting resources, people from different committees, who can assist with questions about organizing the event (e.g., Membership Activities Board, Competitions Committee, etc.).

Technical Co-sponsorship Requests

Beginning with applications submitted 1 June 2017 or later, the following policies will apply to all Technically co-Sponsored Conferences:

  • For conference proceedings published in IEEE Xplore, the IEEE Robotics and Automation Society will cover the entire publication fee  (US$22 per paper). Alternately, conference organizers are free to publish conference proceedings elsewhere.
  • With the goal of covering RAS's expenses to support conferences (advertising, marketing, support for conference organizers, Conference Organizer Workshops, etc.), all TECHNICALLY CO-SPONSORED CONFERENCES will be charged an administration fee of USD$700 after the conference has concluded. If the conference is unable to pay the fee, the IEEE Robotics and Automation Society will not technically co-sponsor the next edition of the conference.
