T-RO PaperCept Submission Procedures

Submissions to the IEEE Transacations on Robotics (T-RO) go to the T-RO PaperCept site ras.papercept.net/journals/tro. This page contains detailed steps for new submissions, for resubmissions, and for final submissions of accepted papers.

Preliminary Actions for New Submissions

First read the Information for Authors for topics such as submission types, copyright and ethical issues, style of manuscripts and IEEE tools for authors, PDF file testing, paper length, and page charges. All authors of a paper should possess a PIN number from the Robotics & Automation Society journal or conference management systems. If you have submitted a paper to a recent RAS conference or journal, you already have a PIN.  If you have forgotten your PIN, follow the link at the login page https://ras.papercept.net/journals/tro/scripts/login.pl to look it up.

Steps for New Submissions

The following procedure applies to new submissions, for which no earlier version has been reviewed by T-RO.  These submissions will receive a new paper ID in the system.

  1. Log in with your RAS PIN number and password at the T-RO PaperCept submission site. It is highly recommended that you update the personal information associated with your PIN after you log in.
  2. Follow the link "Submit a new paper to IEEE T-RO".
  3. Select the Type of Submission: Regular Paper, Short Paper, Communication Item, or Survey Paper (please, contact the EiC in advance for this last category). An additional category may be present during the calls for papers for a Special Issue.
  4. Choose to whom you submit - the only active option is to the T-RO Editor-in-Chief (EiC).
  5. Enter the Authors.
    • Enter ALL authors through their RAS PIN. You can look up your co-authors' PINs, or, if necessary, register new PINs, at this step.
    • Select the corresponding author.
    • The order of authors can be adjusted.
  6. Enter the Title and Abstract (no more than 1200 chars, without TeX or HTML commands).
  7. Enter the Keywords (using also the list of RAS subject areas).
    • Four keywords must be entered. 
    • Three of them must be chosen from the list of T-RO keywords, while the fourth may either be chosen from the list or typed in freely.
  8. Enter extra information.
    • If a preliminary version of the paper has been (or is going to be) presented at conference(s), specify in a compact way which one(s); these conference papers should be explicitly cited in the present journal submission, with a clear statement describing the differences/changes/additions.  Papers failing to comply with this will be returned by the EiC.
    • If the submission is a revision of a paper originally handled through the old T-RO review system (up to 2007) OR is a full revision of a paper that was rejected in T-RO PaperCept (from 2008), provide the former paper ID.
    • Enter 'no' in any of these fields, if the related conditions do not apply.
  9. Enter a Cover Note with a brief message to the EiC.  Submission of expanded/improved material from previous conference papers is allowed, provided that the conference papers are mentioned in the cover note, they are explicitly cited in the manuscript, and differences/changes/additions are discussed in the text of the paper.  The cover note should also be used to indicate if the submission is invited or intended for a Special Issue.  If the paper is a revision of a paper that was previously rejected by T-RO, the cover note should also state this.
  10. Confirm the information you have entered so far.
  11. Final step: Uploading your files.
  • Paper in pdf format.  Make sure that your paper conforms to the IEEE template and other requirements in Information for Authors.
  • If your paper is evolved from preliminary conference version(s), upload the conference version(s) as a single pdf for consideration by the reviewers.
  • Multimedia attachment [optional]:  a single zip archive containing the multimedia material, including a ReadMe.txt and Summary.txt file, as described in Information for Authors.
  • If your paper is a revised version of a paper that was previously rejected by T-RO, you should provide a reply to the reviewers' comments on the previous paper and a list of changes made to the paper as a single pdf file.

If the submission was successful, a message is displayed on screen and an acknowledgment email is sent to your address (cc: to all other co-authors).

 

Steps for Resubmissions Based on Conditionally Accepted or Revise-and-Resubmit Papers

The following procedure applies to resubmissions of revised versions of "Conditionally accepted" papers [CR/CS/CC] or to papers that received a "Revise and resubmit" decision [RR/RS/RC] within T-RO PaperCept. The resubmission of a Conditionally accepted paper will keep the original paper ID, but the Version number is incremented. The resubmission of a paper with a Revise decision will receive a new paper ID. In both cases, the previous submission and related review material will be automatically linked to the current resubmission in the system.

  1. Log in with your RAS PIN number and password at the T-RO PaperCept submission site.
  2. Follow the link "Author of 1 (or more) submission(s) to IEEE T-RO" in your Access Page.
  3. Follow the link "Resubmit" associated to the paper of interest. Only the corresponding author of the paper has the link active for proceeding to the resubmission. Next to this there is a deadline for resubmission (60 days from decision for CR/CS papers, 30 days for CC papers, no deadline for RR/RS/RC).
  4. Confirm the information you have entered so far.
  5. Proceed with similar steps as for a new submission, with the following notes:
    • The information on Authors, paper Title and Abstract, and Keywords is automatically loaded as default from the previous paper data
    • The paper category cannot be changed (it is the one specified in the Editor decision).
    • The Author List, the Title and Abstract, and the Keywords can be updated.
    • A Cover Note should be entered.
  6. Final step:  Uploading your files.
    • Paper in pdf format.  Make sure that your paper conforms to the IEEE template and other requirements in Information for Authors.

    • Author's response, with reply to the reviewers' comments and list of changes made.

    • If your paper is evolved from preliminary conference version(s), upload the conference version(s) as a single pdf for consideration by the reviewers.

    • Multimedia attachment [optional]:  a single zip archive containing the multimedia material, including a ReadMe.txt and Summary.txt file, as described in Information for Authors.


If the resubmission was successful, a message is displayed on screen and an acknowledgment email is sent to your address (cc: to all other co-authors).

Submission of Final Material

All final material needed for publication of accepted papers is to be submitted electronically. You have 30 days from the date of Editor decision about acceptance to submit your final material for publication. When ready, follow the link "Submit final version" next to the accepted paper in your Author workspace. Only the corresponding author of the paper has the link active for proceeding to the final submission.

The steps in the final submission are essentially:

  • Finalize the title and author list.
  • Transfer copyright to IEEE (electronic procedure).
  • Complete the submission meta data (publication information for IEEE).
  • Upload the PDF with the final version of the manuscript.
  • Upload the Source files of your final paper.
  • Upload, if needed, the final Multimedia Attachment (only if already present upon acceptance).

The final material needs to be approved by the T-RO Editor-in-Chief before being electronically dispatched to IEEE.

An Author Checklist with detailed instructions is attached (as PDF file) to the Editor acceptance decision email, specific for each paper category.

Note that final submission is not complete until the status of the paper has changed to 'Final MS received'. When the procedure has been successfully completed, you will receive an acknowledgment by email.
